Fireflies vs Otter: AI Meeting Notetaker for Small B2B Sales Teams, Head-to-Head
Two per-seat AI meeting notetakers aimed at small sales teams. We compared current official pricing, CRM gating, recording limits, and workspace caps on documentation as of October 2026 and scored each round on measured facts.
Fireflies takes the overall by four points on three decisive advantages for a small B2B sales team: a lower-friction free tier with unlimited transcription already in it, CRM sync (HubSpot and Salesforce transcript save) that opens at the $10/seat Pro tier instead of being gated higher, and a published Enterprise price for teams that eventually need SSO or HIPAA. Otter wins on free-tier transcription minutes (300 minutes a month vs Fireflies' 400 minutes of team-wide storage), on per-meeting recording length at the entry paid tier if a 90-minute cap is enough, and on the AI Chat allowance at the Business tier. For a 3-10 person sales team that lives in HubSpot or Salesforce and wants per-call summaries pushed into deal records, Fireflies is the higher-scoring default. Otter is the stronger pick for solo operators who only need a searchable transcript archive and don't need a CRM write-back.
Fireflies and Otter are the two AI meeting notetakers small B2B sales teams reach for when they want every discovery and demo call captured, summarized, and pushed into the CRM without a human taking notes. Both are per-seat SaaS, both sit on Zoom, Google Meet, and Microsoft Teams, and both publish a free tier plus a Pro and Business plan that most small teams actually buy.
This comparison is a documentation and pricing review, not a hands-on test. Every round below is scored against each vendor's current official pricing and docs pages as of October 2026. Where the two overlap on recording limits, CRM gating, workspace caps, and published Enterprise pricing, we report the exact numbers each vendor publishes and name the plan each lands on.
| Test category | Winner | Result & method |
|---|---|---|
| Entry price and free-plan usability | Fireflies | Fireflies' Free plan includes unlimited transcription with 400 minutes of storage shared across the whole team, 20 one-time AI credits, and support for 100+ languages. Otter's free Basic plan caps transcription at 300 minutes per month, 30 minutes per conversation, and allows only 3 lifetime audio/video file imports. The Pro tiers land within pennies of each other on annual billing: Fireflies Pro is $10/seat/month billed annually ($18 monthly) and Otter Pro is $8.33/user/month billed annually ($16.99 monthly). But Otter Pro's 90-minute per-meeting cap will truncate longer demos that Fireflies Pro records up to its 2-hour cap. For a team that wants a durable free tier to test on real sales calls rather than a 300-minute monthly meter, Fireflies' free plan is more usable. How we measured it: Compared the Free and entry paid tier on each vendor's official pricing page as of October 2026, including per-seat price (annual and monthly), transcription limits, storage limits, and per-conversation length cap. |
| CRM sync and the plan gate for sales teams | Fireflies | For a small sales team, this is the round that decides the purchase. Fireflies opens unlimited integrations (HubSpot, Salesforce, Pipedrive, and Zoho) starting at Pro ($10/seat/month annual), with meeting-transcript save to HubSpot explicitly requiring Pro or higher. Otter gates Salesforce and HubSpot sync behind Pro as well ($8.33/user/month annual), but Pro limits the sync to a single user, with 5-user sync on Business and unlimited CRM users at Enterprise. Fireflies' Business plan ($19/seat/month annual) adds Integration Rules so admins can filter which meetings log to the CRM, and Deal Intelligence pulling HubSpot and Salesforce data back into the Fireflies workspace is available on Business or Enterprise. Otter's unlimited-CRM-user tier (Enterprise, custom-quoted) doesn't match Fireflies' per-call automation depth at the Business tier. How we measured it: Audit of each vendor's documentation on which plan unlocks HubSpot and Salesforce sync for sales workflow (summary push, transcript save, action-item/task creation), per the official pricing page and integration guides. |
| Business-tier recording limits and workspace size | Otter | Otter's Business plan is more flexible on raw volume at the published $19.99/user/month annual price. It removes the monthly in-app recording cap, raises the per-meeting limit to 4 hours, allows unlimited audio/video file imports, bumps AI Chat to 200 queries per user per month, and lets up to 3 concurrent meetings be joined, with a workspace of up to 25 billed users. Fireflies Business ($19/seat/month annual) grants unlimited storage, 30 AI credits (one-time pool), Multi-Language Mode, team analytics, and raises the per-meeting cap to 3 hours, which is one hour shorter than Otter's. For teams that routinely run 3-4 hour workshops, training calls, or long customer QBRs, Otter's longer per-meeting cap is the more defensible pick at this tier. How we measured it: Compared the published Business-plan limits on transcription minutes per user, imported file minutes per user, per-meeting duration cap, and maximum workspace size on each vendor's official pricing page. |
| Enterprise plan transparency | Fireflies | Fireflies publishes an Enterprise price of $39/seat/month, billed annually, and documents SSO, SCIM, HIPAA, custom data retention, and audit logs at that tier with no stated minimum seat count on the pricing page. Otter's Enterprise plan is custom-quoted. SSO, SCIM, and Domain Capture are included, but Otter's pricing-page feature matrix notes a minimum 100-user license requirement for SSO and SCIM, and HIPAA is listed as an add-on. For a small team on a growth path that may need SSO or HIPAA within 12-18 months, Fireflies' posted Enterprise price and the absence of a 100-seat SSO floor is the more predictable buy.How we measured it: Compared the published Enterprise plan on each vendor's official pricing page, including price, SSO/SCIM availability, HIPAA posture, and any user minimum. |
| Workspace cap on the Business plan | Fireflies | Otter's Business plan supports up to 25 billed users; above that, Otter directs buyers to Enterprise, which carries the 100-user SSO/SCIM floor noted above. Fireflies doesn't publish a 25-user cap on Business and is sold per seat with no minimum, so a growing small team can keep stacking Business seats past 25 without being pushed into a sales-led quote. How we measured it: Checked the official pricing-page documentation for the maximum number of billed users permitted on each vendor's Business plan. |
| Published annual-vs-monthly billing gap | Otter | Both vendors use annual billing to compress list price. Otter Pro drops from $16.99/user/month monthly to $8.33/user/month on annual, roughly a 51% discount, and Business drops from $30 to $19.99/user/month, roughly 33% off. Fireflies Pro drops from $18 to $10/seat/month (about 44%), and Business from $29 to $19/seat/month (about 34%). On the Pro tier, Otter's annual rate is $1.67/seat/month cheaper than Fireflies', and the annual discount is steeper. For a solo founder or two-rep team paying for only one or two seats annually, Otter is the cheaper line item. How we measured it: Compared the per-seat annual rate vs the per-seat monthly rate on the Pro and Business tiers for each vendor as published on the current pricing page. |
Fireflies and Otter are sold for the same job: an AI meeting assistant that joins Zoom, Google Meet, and Microsoft Teams calls, transcribes them, writes a summary, and pushes the result into the CRM. For a small B2B sales team, the choice comes down to whether the tool makes every sales call show up as a usable record in HubSpot or Salesforce the next morning.
Reading the result
The overall margin is four points. Fireflies took four of six rounds (free-plan usability, CRM gating at Pro, Enterprise transparency, and the Business workspace cap), and Otter took two (longer per-meeting cap on Business, cheaper Pro annual rate). None of the rounds that went Fireflies’ way were landslides, but three of them are the ones a small sales team actually buys the product to solve.
How to map the rounds to a buying decision
If you’re a solo founder or one-rep operation that only needs a searchable transcript archive and doesn’t plan to write back to a CRM, Otter Pro at $8.33/user/month billed annually is $1.67/seat/month cheaper than Fireflies Pro and ships 1,200 recording minutes a month. The 90-minute per-meeting cap is the catch. If your discovery calls routinely run longer, you need Otter Business or Fireflies Pro.
If you’re a 3-10 person sales team already in HubSpot or Salesforce, the deciding round is CRM sync. Fireflies’ Pro tier at $10/seat/month annual opens unlimited integrations, including HubSpot and Salesforce, with transcript save to HubSpot explicitly requiring Pro or higher. Otter’s Pro ($8.33/user/month annual) also lists Salesforce and HubSpot integrations, but the sync is limited to a single user on Pro and five users on Business, with unlimited CRM users only on Enterprise. For a six-person team, Fireflies Business at $19/seat/month gets you Integration Rules to filter which meetings log to the CRM; the comparable Otter plan is $19.99/user/month and matches on per-seat price but not on per-call automation depth.
If you run long workshops or multi-hour customer QBRs, the Business per-meeting cap is the deciding round. Otter Business raises the per-meeting limit to 4 hours and allows unlimited imported-file transcription; Fireflies Business caps a single meeting at 3 hours.
If a 12-18 month plan might land you at SSO or HIPAA, look at the Enterprise round. Fireflies posts a published Enterprise price of $39/seat/month on annual billing with SSO, SCIM, HIPAA, custom retention, and audit logs. Otter publishes SSO and SCIM availability on Enterprise but notes a minimum 100-user license on the pricing-page feature matrix, and HIPAA is an add-on. A small team can’t clear the 100-user floor; it has to accept a custom quote and renegotiate as it grows.
On the free plans
The two free plans are shaped differently, and the shape matters more than the raw minute counts. Otter’s free Basic gives 300 transcription minutes per month, caps each conversation at 30 minutes, and allows only three lifetime audio/video file imports. That’s enough to try the product on a handful of calls but burns out quickly. Fireflies’ free plan transcribes unlimited meetings with 400 minutes of storage shared across the entire team, 20 one-time AI credits, and support for 100+ languages. It’s a longer runway for a team that wants to validate the workflow before paying, but once you hit 400 minutes stored, you have to delete older meetings to make room.
Neither free plan is a long-term operating plan for a sales team that records daily. Both are evaluation tiers.
On CRM gating
This is where the two products diverge most for small B2B sales teams, and where the published documentation requires the most careful reading.
Fireflies’ pricing page lists “Unlimited integrations” starting at Pro, which is where the native HubSpot, Salesforce, Pipedrive, and Zoho connectors become available. Transcript save to HubSpot specifically requires Pro or higher, per the Fireflies HubSpot integration guide. The Business plan adds Integration Rules, the filter layer that keeps internal standups out of your HubSpot deal records, and opens Deal Intelligence, which combines CRM and meeting data for HubSpot and Salesforce users and requires a Business or Enterprise plan with Admin access.
Otter’s pricing-page feature matrix lists synced notes to Salesforce or HubSpot as limited to one user on Pro and five users on Business, with unlimited on Enterprise, and AI Chat with Salesforce as an Enterprise-only feature. For a sales team of three to ten reps, that means the Business plan at $19.99/user/month is the practical floor for HubSpot or Salesforce CRM sync, and matching Fireflies’ CRM breadth takes the Enterprise plan.
On workspace size
Otter’s Business plan is explicitly capped at 25 billed users on the official pricing page. Above 25 users, Otter directs buyers to Enterprise, which carries the 100-user SSO/SCIM floor. Fireflies doesn’t publish an equivalent 25-seat cap on Business and operates per seat with no minimum, so a team that grows from 10 to 40 reps on Fireflies Business keeps paying the same per-seat rate rather than getting routed to a sales-led quote.
If you already compared Attio vs Folk and are standardizing on a modern AI CRM, note that Fireflies’ native CRM list covers HubSpot, Salesforce, Pipedrive, and Zoho; Attio sync is via Zapier or the API, not a first-party native integration documented on Fireflies’ integrations page.
On the AI credit meter
Both vendors meter their heavier AI features. Fireflies uses AI credits for AskFred, AI Skills, and Voice Agents, with 20 one-time credits on Free and Pro, 30 on Business, and 50 on Enterprise, and add-on credits available starting at $5/user/month. Price it in.
Otter uses an AI Chat query cap instead: 20 queries per user per month on Basic, 50 on Pro, 200 on Business and Enterprise. For a sales team running summary-only workflows and letting AI Chat answer cross-meeting questions, Otter Business’s 200 queries per user is more generous than Fireflies’ one-time 30-credit Business pool.
What this comparison doesn’t test
This is a documentation review. It doesn’t test transcription accuracy head-to-head on identical audio, speaker-diarization quality on multi-participant calls, latency between meeting end and summary delivery, or the real-world reliability of each CRM push. Both vendors publish accuracy numbers for their own transcription, and both have the usual mix of positive and negative review-site feedback. Those are separate measurements and aren’t what we scored.
What this comparison does say, with the documentation open: for a small B2B sales team whose primary job is turning sales calls into CRM records that lead to the next meeting, Fireflies gates less of that workflow behind higher plans than Otter does. For teams that pair a notetaker with other sales workflow tools, like a cold-calling voice agent or a win-loss analysis tool, a lower CRM-sync plan floor matters more than the $1.67/seat/month Pro-tier price gap in Otter’s favor.
